Qualifications and Requirements

The Secretary must have:

  1. Emotional maturity, willingness to cooperate with the aims of the program, respect for children and adults, flexibility, patience, good personal hygiene, and physical and mental health which does not interfere with responsibilities. 
  2. A tuberculosis test, and compliance with background checks as required by DSS and DHCDC
  3. CPR and MAT training required upon start of employment
  4. Strong communication skills and effective organizational skills
  5. Regular and reliable attendance 

Essential Functions and Responsibilities

  1. Maintain all registration and physical records with current information
  2. Answer the phone, check email, and take messages 
  3. Greet parents and visitors in a professional manner
  4. Perform typing, photocopying, and other office tasks in a timely accurate manner as needed. This may include copying and office tasks as needed for teaching staff.  Supervisor approval may be needed
  5. Collect tuition, log tuition, and make deposits for tuition and incoming funds. Keep an account of parent’s yearly child tuition totals for income tax purposes.
  6. Make packets for orientation and call new and incoming parents. Track  withdrawal and dropped students and ensure all classes are fully enrolled
  7. Give students medications and take care of all medical needs
  8. Take daily lunch count from classrooms and call the lunch count to Hampton City Schools by 9:30.
  9. Order janitorial supplies and office supplies and organize them for easy excess for teachers.
  10. Enter work orders for facility needs
  11. Assist in dismissal of children
  12. Keep a weekly attendance account of students and provide to ED
  13. Maintain employee phone numbers and current substitute list with phone numbers
  14. Assist with maintaining Department of Social Service payments.
  15. Attend open house and orientations for parents.
  16. Perform other job duties and responsibilities as assigned
